Terms of Service

1. Deposit and Payment Terms

  • A deposit of 30% of the total hire cost is due upon signing your Event Agreement to secure your date and booking. The date of your event is only secured once the agreement is signed and returned and deposit payment is received. An invoice for final payment will be emailed once your booking is confirmed.

  • The remaining balance is due no later than (7) days before the event date. (Ex: If your date is on the 23 June, your balance is due no later than 16 June)

  • For events occurring within (7) days or less from the booking date, the Rental Agreement and payment in full for the rental items must be received from the client within (24hrs) of client’s receipt of Agreement and Invoice

  • Failure to pay the remaining balance by the due date may result in cancellation of the booking and forfeiture of the deposit.

  • At this time, all payments can be made via bank transfer or PayPal. Please quote your name and event date when sending payment.

  • No refunds will be given for unused rental items following delivery or pick up (due to inclement weather or the decision to not use the items on the day of the event) unless applicable under the Cancellation Policy.

2. Delivery, Set Up and Collection

Delivery is included in your booking within the Mid and East Antrim Borough Council, Antrim and Newtownabbey Borough Council, and Belfast City Council. After this distance, a mileage fee of 50p per mile will apply.

  • Delivery fees are based on the agreed venue location; should this location change, additional delivery fees may be incurred.

  • Delivery and Collection Timeframe: Delivery and Collection times must be finalized no less than (14) days prior to the event. All hired items must be available for collection at the pre-arranged time unless otherwise agreed.

Setup is included in your booking and includes safe placement and styling of our rental items as discussed in your event plan. We require a clear, accessible space upon arrival to begin setup. Any delays caused by venue inaccessibility may incur an additional charge.

  • We are not responsible for setup of any items not provided by Fable & Found Hire Co. unless otherwise agreed.

  • Designated Point of Contact and Sign Off: A main point of contact must be designated in advance as the person responsible for the delivery and collection logistics at the event.

3. Damage and Liability

  • Security Deposit: A refundable security deposit of £100 is required at the time of final payment. This covers any damages, losses, or additional cleaning costs that may arise from the event. Any additional costs will be communicated in writing following the event. This deposit will be returned within 48hrs following the return of items, provided they are in the same condition as rented.

  • Inspection: The Renter (or point of contact) agrees to inspect and sign off on all items upon delivery and report any damages or issues immediately to the Owner. If this person is not available, the right to verify the condition will be forfeited.

  • Damage Fees: A significant portion of our inventory is carefully sourced secondhand as part of our eco-friendly ethos and may display some small signs of wear and tear as standard. If items are damaged outside the scope of normal wear and tear, lost, or stolen while in the Renter’s possession, Renter will be responsible for repair or replacement costs as determined by the Owner up to and including the full replacement or repair cost. These costs will be communicated in writing to the Renter and will be due upon invoice receipt.

  • Liability Waiver: The Owner is not responsible for any injury, damage, or loss caused by the rental items once they are in the Renter's possession. Renter assumes full responsibility and liability during the hire period.

4. Cancellation Policy

In the unfortunate situation your event is cancelled, all cancellation requests must be received in writing at fableandfoundhire@gmail.com and the following Cancellation Policy will apply:

  • The 30% deposit will be refunded in full for cancellations made more than (30) days before the event date

  • Cancellations made 15-30 days before event: 50% of deposit refunded.

  • Cancellations made within (14) days of the event will forfeit the deposit only

  • Cancellations made within (7) days of the event will forfeit the deposit and incur a cancellation fee of 50% of the total hire cost

We will attempt to reschedule free of charge dependent on availability.

If we must cancel your booking, the following policies will apply.

  • If we need to cancel your booking, we will provide a full refund of all payments made, including the deposit.

  • We will not be liable for any other costs incurred by the client as a result of cancellation.

5. Postponements

We will make every effort to accommodate rescheduling to a new date where possible pending availability.

  • If the client wishes to postpone the event, the new date must be agreed upon and is subject to availability. There is no guarantee that the same rental items will be available or that such rescheduling can be accommodated.

  • If the event is postponed more than once, a new deposit may be required.

6. Force Majeure

Fable & Found Hire Co. shall not be held responsible for failure to perform any of its obligations due to circumstances beyond its control, including but not limited to natural disasters, strikes, or government regulations.

7. Amendments

Any amendments to the booking (such as changes to items hired or event date) must be requested in writing at least (14) days prior to the event. Amendments are subject to availability and may incur additional charges.

8. Use of Images

The Renter consents to the use of any images of the rented items at the event for the Owner’s promotional use on social media, websites, and other marketing materials, unless otherwise specified by the Renter in writing.

9. Service Disclaimer

We reserve the right to update or amend our rental offerings, pricing, or service terms at any time. Clients with confirmed bookings will be notified of any changes that may affect their event.

In rare cases where a specific rental item becomes unavailable, we reserve the right to provide a comparable alternative of equal or greater value. We will always aim to consult with you prior to any changes being made.
